We are seeking a motivated and development-driven Administrative Manager to join our team. Job Details: Work Schedule: Monday-Friday, 09:00-18:00 Workplace: 23a Chavchavadze Street, Tbilisi Probationary Period: 6 months Key Responsibilities: Human Resources Administration ** Coordinate recruitment processes, including job posting administration, CV screening, interview scheduling, and candidate communication. ** Administer employee onboarding and offboarding processes, ensuring completion of all required documentation and system access management. ** Maintain and update employee records, personnel files, and HR documentation. ** Support the implementation and administration of HR policies, procedures, and internal regulations. ** Coordinate employee benefits administration and maintain related records. ** Organize employee orientation sessions and facilitate adaptation to company policies and systems. ** Support performance management, training, and employee development initiatives. ** Maintain confidentiality of employee information and HR-related documentation. Office Administration & Infrastructure Management ** Oversee day-to-day office operations and ensure a productive working environment. ** Manage office facilities, equipment, furniture, and workplace infrastructure. ** Monitor office inventory levels and coordinate procurement of office supplies and consumables. ** Coordinate maintenance and servicing of office equipment and facilities. ** Ensure availability and proper allocation of workplace resources for employees. ** Maintain company asset registers and support periodic inventory checks. ** Coordinate workplace health, safety, and office compliance requirements. Administrative Coordination & Internal Support ** Manage corporate communication channels, including shared email accounts, calendars, and telephone communications. ** Administer and manage company digital platforms, including SavvY.Self.ge, TimeSavvY, and the BOLT corporate taxi platform; register new team members in relevant systems, manage access rights, and provide guidance on platform usage. ** Coordinate international employee relocation processes, including visa and residency procedures, legal requirements, accommodation and office space sourcing, insurance activation, and expense administration. ** Administer disciplinary procedures, including preparation of notifications, documentation, organization of explanation meetings, and archiving of relevant records in employee personnel files. ** Coordinate the performance appraisal process, including scheduling appraisal meetings, distributing and collecting evaluation forms, organizing submissions on Drive, and sharing completed forms with relevant managers. ** Coordinate internal and external meetings, including scheduling, logistics, and meeting room arrangements. ** Organize business travel arrangements, including transportation, accommodation, and travel-related logistics. ** Coordinate company events, team-building activities, workshops, and internal gatherings. ** Facilitate communication between departments and support effective information flow across the organization. ** Coordinate relationships with external service providers and vendors for administrative matters. ** Maintain administrative records and ensure proper document archiving and organization. ** Support executive management with scheduling, administrative coordination, and operational follow-up activities. ** Identify opportunities for process improvement and contribute to enhancing administrative efficiency. Administrative Support Services for Client Companies In addition to supporting SavvY`s internal operations, the Administrative Manager is expected to actively participate in the delivery of outsourced administrative and operational support services provided to client companies. Depending on the scope of engagement, the Administrative Manager may be assigned to one or more client accounts and act as an extended member of the client`s administrative support function. Responsibilities may include: ** Planning and coordinating business travel arrangements, including flights, accommodation, transportation, and visa-related support when required. ** Organizing meetings, managing calendars, and coordinating communication with participants. ** Coordinating visits to notaries, legal entities, public authorities, and other administrative institutions. ** Managing the sending, receiving, and tracking of official documentation. ** Coordinating courier and postal services. ** Supporting document circulation processes and coordinating document execution and signature workflows. ** Maintaining corporate documentation registers and archives. ** Supporting communication with business partners, government authorities, banks, and other external stakeholders. ** Coordinating administrative procedures related to company registrations, licenses, permits, renewals, and corporate changes. ** Providing organizational support for meetings, events, workshops, and business visits. ** Coordinating office and administrative requirements. ** Supporting the preparation and administration of powers of attorney, applications, extracts, and other official documents. ** Managing client administrative requests and monitoring their timely completion. ** Coordinating relationships with external service providers, including lawyers, translators, notaries, couriers, and other professional service providers. ** Maintaining administrative calendars and monitoring key corporate deadlines, renewals, registrations, and compliance-related requirements. ** Participation in client-facing assignments constitutes an integral part of the position and is considered equally important as the performance of internal administrative responsibilities.
