For more details, please visit our website https://aptos.global/ Aptos team is looking for Event Coordinator About the Role The Event Coordinator is responsible for the operational coordination and execution of assigned events under the direction of the Brand Manager. Strategic decisions, event objectives, final budgets, supplier selection, major expenditures, event formats, speaker selection, and other key decisions remain the responsibility of the Brand Manager and/or relevant management. Key Responsibilities: Event planning & coordination: ** Support the Brand Manager in planning and organizing company events according to approved objectives, timelines, and budgets. ** Prepare event timelines, checklists, schedules, and action plans based on the Brand Manager`s instructions. ** Follow up with internal and external parties to ensure that assigned tasks are completed on time. ** Coordinate several events and activities simultaneously. ** Keep the Brand Manager regularly informed about progress, pending tasks, and potential issues. ** Identify logistical problems in advance and bring them to the Brand Manager`s attention together with possible solutions. Venue & supplier coordination: ** Research suitable hotels, restaurants, conference venues, and other locations based on the requirements provided by the Brand Manager. ** Contact venues and suppliers and request quotations. ** Collect, organize, and compare quotations for presentation to the Brand Manager. ** Coordinate communication with approved suppliers. ** Follow up on quotations, availability, bookings, contracts, invoices, and other required documentation. ** Coordinate event-related services such as catering, audiovisual equipment, production, printing, photography, transportation, décor, and technical support. ** Maintain an updated database of venues and suppliers. Budget & procurement support: ** Assist the Brand Manager with collecting information required for event budgets. ** Obtain quotations from different suppliers as requested. ** Prepare quotation comparison sheets and cost summaries. ** Track approved event expenses and commitments. ** Submit invoices and relevant documentation to the appropriate internal departments for processing. ** Follow up on payments and outstanding supplier documentation when required. ** Ensure that no supplier commitment or additional expense is made without the appropriate internal approval. International speaker coordination: ** Support the Brand Manager with the logistical coordination of international speakers. ** Communicate with speakers or their representatives regarding approved logistical arrangements. ** Coordinate flights, accommodation, airport transfers, local transportation, meals, and other agreed requirements. ** Prepare speaker itineraries and schedules. ** Collect presentation requirements and coordinate technical needs with the relevant suppliers. ** Provide speakers with practical information regarding their visit and event. ** Assist with the speaker`s arrival, accommodation, transportation, and on-site needs. Doctor & participant coordination: ** Prepare and maintain participant and guest lists. ** Send invitations and follow up on attendance confirmations as instructed. ** Coordinate event registration. ** Assist with accommodation and transportation arrangements for invited doctors when applicable. ** Prepare name badges, seating arrangements, certificates, welcome materials, and other participant materials. ** Respond to logistical questions from participants and direct substantive or brand-related questions to the appropriate team member. Event materials & branding: ** Coordinate the production of event materials based on approved designs and brand guidelines. ** Work with approved designers, printers, production companies, and other suppliers. ** Coordinate invitations, banners, roll-ups, signage, brochures, certificates, name badges, menus, and other materials. ** Ensure that approved materials are delivered to the venue on time. ** Coordinate setup and placement of branded materials at the event. On-site event support: ** Attend events as required and provide on-site operational support. ** Coordinate with the venue, suppliers, speakers, and internal team during the event. ** Ensure that the approved event schedule is followed. ** Support registration and guest reception. ** Check that rooms, seating, catering, technical equipment, branding, and other logistical elements are properly prepared. ** Assist the Brand Manager in resolving operational issues during the event. ** Coordinate suppliers during setup, event execution, and dismantling. ** Ensure company materials and equipment are collected after the event. Post-event support: ** Collect attendance information, photographs, videos, feedback, and other event documentation. ** Assist in preparing post-event reports and summaries for the Brand Manager. ** Organize invoices, quotations, attendance lists, and other event documentation. ** Assist in collecting participant feedback. ** Maintain an organized archive of completed events. ** Document supplier performance and relevant information for future events.
