## Job description

Hello, and thank you for your interest in the position! Front Desk Helpers is a woman-founded outsourcing company based in New Jersey, USA, established in 2015. Our areas of expertise include talent solutions for healthcare, IT, telecommunications, transportation, architecture, HR management, and other industries. We are currently looking for a Permit Coordinator to join our team full-time. This position supports architectural and construction projects in New York City by coordinating permit applications, maintaining project documentation, and communicating with city agencies and project stakeholders. The ideal candidate is organized, detail-oriented, proactive, and comfortable managing multiple tasks in a fast-paced environment. Our Permit Coordinators play an important role in ensuring that project documentation is accurate, deadlines are met, and communication between all parties remains efficient throughout the permitting process. What You'll Do Prepare and submit applications and documentation for architectural and construction projects, including: DOB NOW filings PAA applications Reinstatements Withdrawals Permit applications Tax verification requests Plumbing applications Violation-related filings Applicant Supersede requests BPP applications Subdivision filings DHCR applications Landmark applications ZRD1 and CCD1 forms DEP applications Certificate of Correction requests Stop Work Order (SWO) dismissal requests Coordinate and maintain smooth communication between TDA and the New York City Department of Buildings (NYC DOB) and other government agencies. Facilitate communication between project managers, clients, architects, engineers, and government authorities. Assist clients and project partners with online systems, document submissions, payments, and permitting procedures. Track project progress and provide regular updates and reports to management. Maintain accurate project records and ensure documentation is complete and up to date. Provide administrative support to project managers and the business owner. Assist with other project coordination and administrative tasks as needed. Ideal Candidate Profile Excellent organizational skills and strong attention to detail. Ability to manage multiple projects and deadlines simultaneously. Strong written and verbal communication skills. Comfortable working with documentation, government portals, and administrative processes. Proactive problem-solving mindset and ability to follow up consistently. Ability to work independently while collaborating effectively with a remote team. Strong time management and prioritization skills. Professional, reliable, and customer-service oriented. Previous experience with permit coordination, construction administration, architecture, engineering, or project coordination is a strong advantage. Experience working with NYC Department of Buildings (DOB NOW) or other NYC permitting systems is a plus. Language Requirements English (C1 level or higher) is required. Schedule Monday–Friday, 9:00 AM – 5:00 PM (New York, EST). What We Offer Paid training to prepare you for your role. Competitive salary paid in USD.
