We work with individuals, couples, children, and organisations across neurodevelopmental assessment, psychotherapy, psychosexual health, and educational psychology. LTT also operates LAMP (London Academy of Modern Psychology), our CPD-accredited training arm. We are a growing, ambitious practice founded on clinical excellence, and we are looking for an equally ambitious individual to grow with us. The Role This is a multidimensional, fully remote Executive Assistant role supporting the day-to-day operations of a fast-growing London-based therapy practice. You will work directly alongside the Founder and Clinical Director, playing a pivotal role in keeping the practice running smoothly, professionally, and in line with our brand values. The role carries real responsibility from day one and is designed to evolve: within two to three years, there is a clear pathway into a Practice Manager position as the team expands. Salary: $1, 300 USD per month Probation Period: 2.5 months Location: Fully remote — based in Georgia Hours: Full-time, aligned to UK working hours (GMT/BST) Reporting To: Founder & Clinical Director, Dr Olena Edwards-Skadowska; and Head of Operations, Jonathan Mark-Brooke Annual Perk: Funded trip to London once per year to spend a week working from our Harley Street and Chancery Lane clinics (accommodation and travel supported); annual performance bonus subject to personal performance review and company performance Key Responsibilities ** Diary & Booking Management: Manage the Founder/Clinical Director`s diary with precision and foresight — scheduling clinical, operational, and external commitments, anticipating conflicts, and protecting focused working time. ** Clinical Scheduling: Oversee and maintain practitioner and client appointment schedules across all clinic locations, ensuring room bookings, practitioner availability, and session times are correctly aligned in the practice management system. ** Client Onboarding: The majority of the client onboarding journey is automated through the LTT Therapy Suite; however, this process demands meticulous oversight and consistent vigilance. You will be responsible for ensuring every step has been completed correctly, chasing any gaps, and guaranteeing that each client receives a seamless, warm, and professional introduction to the practice in line with LTT`s brand standards. Nothing should fall through the cracks. ** Telephone & Written Client Liaison: Answer inbound client calls via virtual telephone line and company WhatsApp, respond to enquiries professionally and courteously, and manage follow-up communications with care and efficiency. Stable, high-speed internet is essential. ** Client Reviews & Reputation Management (Trustpilot, Google, Doctify): Take ownership of a meticulous and proactive review collection process across Trustpilot, Google, and Doctify — identifying appropriate moments in the client journey to request feedback, sending requests, and following up as needed. Manage and draft responses to all incoming reviews in a professional and brand-consistent tone, submitting responses for approval by the Head of Operations or Founder prior to posting. ** Research & Content Support: Conduct desk-based research on topics relevant to the practice, including clinical trends, competitor analysis, local SEO, and marketing opportunities. ** Brand Communications: Write and respond to all external communications (emails, enquiry forms, social messages) in LTT`s established tone of voice — warm, professional, authoritative, and reassuring. ** Operational Administration: Manage operational tasks including room hire logistics, practitioner onboarding documentation, supplier communications, and ad hoc projects as directed by the Founder. ** Clinical Report Formatting: Format and finalise clinical reports prepared by practitioners for clients or insurers, applying LTT`s bespoke branded letterhead and ensuring professional, consistent presentation throughout. This requires a meticulous eye for alignment, typography, and layout, and a thorough understanding of the practice`s visual identity standards. ** Weekly Reporting: Prepare and deliver a concise weekly brief to the Founder and Head of Operations covering key metrics including enrolments, enquiries, sales performance, and any operational flags. Reports follow an established framework and are supported by AI tools to ensure consistency, accuracy, and efficiency. Ownership of this process — including gathering the relevant data, compiling the report, and distributing it on time each week — sits firmly with this role. ** Proactive Initiative: Identify problems before they arise, flag risks early, follow up without being asked, and bring solutions rather than just issues.
